A little reading to begin with

A SAMPLE FROM CHAPTER ONE

Give the file a plain household name and a separate place for confirmed product identification. “Kitchen appliance” may be sufficient as a private working label, but it does not establish a manufacturer, model or variant. Copy identification only from a reliable document or safe information already supplied through an authorised route.

Compare the receipt, available product information and any previous service reference. A similar photograph or familiar brand is not enough to prove that documents belong together. Record a mismatch rather than adjusting a number to fit. Distinguish purchase evidence from unit identification.

Do not move, open or operate equipment to obtain a label. If identification cannot be obtained safely from existing records, ask the responsible owner or competent service route how to proceed. The file is an information exercise, not authority to inspect equipment or defeat access restrictions. A tenant should clarify responsibility before arranging work independently.

Avoid making a public inventory of private household details. Keep access appropriate to the responsible adults. Share only the identification needed for a legitimate enquiry through a genuine contact route. If a serial number, address or account reference is unnecessary for the recipient, leave it out of that copy. Product identity should improve correspondence without creating an avoidable disclosure.
