A little reading to begin with

A SAMPLE FROM CHAPTER ONE

Read the reference instruction alongside the application rather than responding to the word reference alone. Does the organisation want names and contact details, a written recommendation, employment verification or another specified form? These are different tasks. A supervisor who can describe performance may not be the person authorised to confirm an official employment record. A written recommendation can require more preparation than agreeing to a short conversation. Identify the actual request before deciding whom to approach or making assumptions about what the recipient will ask.

Look for the required relationship, number, format, submission route and deadline. If a current supervisor is named and your search is private, do not silently substitute a different person or assume the employer will delay contact. Ask the appropriate receiving contact about an acceptable arrangement. Keep the question practical and specific. Requirements may be flexible, but a possibility is not permission until it is confirmed. Avoid using advice from another employer or a university example as a rule governing this application in a different place.

Separate what the instruction states from what you expect. An application requesting two professional contacts has not necessarily requested two letters, personal addresses or a public online endorsement. When wording is unclear, ask the smallest question that resolves the task. You can prepare a private list of possible people without immediately distributing their details. A careful reading reduces unnecessary requests and gives a potential referee an accurate explanation. It also prevents a rushed response from creating an obligation that neither the applicant nor the other person understood.
